Has anyone tried the Quickbooks synch yet?

    One thing to ensure is that you're using the right username / password information for logging in and also if you're using the web connector if its the desktop version.

    And I'm actually going to be purchasing Quickbooks Online for my own nonprofit that uses the NeonCRM, so I'll make myself available as a resource to talk about my own experience with that.

    I have this on my to do list, but as of yet haven't got beyond a couple of tests on a "dummy QB" File. Will be looking forward to what you see and find.   Please share.

    Hi Tim,

    That's the guide I've been using, but it doesn't include info on the latest NEON release that had some update to the Quickbooks integration. I'm going to be upgrading to Quickbooks 2013 soon too. Are there any additional guides or articles I should read?

    Julie,

    Those upgrades were in regards to optimizing the speed and stability of the integration.  You should be fine in regards to Quickbooks 2013.  The guide should still be up to date on the connection.  If you're having issues, submit a support ticket and they might be able to clarify what might be the issue.

    Also, to Justin's original point: Purposes are what do indeed link to classes in Quickbooks.  I'll pop back to update everyone on my own experience soon, we just got board approval for Quickbooks Online Essentials last night.

    Hey folks,

    We have been using the Quickbooks sync feature of Neon since last October with our desktop version of Quickbooks. Once we worked out the kinks it's been great, although a couple of times over the past month it had a couple of glitches. I'd highly recommend as it eliminates the need for manual/double data entry.

    Heather,  do you mind sharing what levels of data you are transferring to QB?  One of our concerns is getting each transaction to the correct QB account, the correct class, and associated with some detail so we can easily reconcile at the end of the month.   It could save a lot of time for us, but only if we don't have to add info in QB later.  Thanks!

    Sure Justin... We bring in all donations, membership renewals and new registrations, merchandise purchases, event registrations. You can set up your mapping for each service item in QB so that it tells Neon where to dump the information during the sync. 

    It may take a couple of weeks to work out the kinks but we now enter only our expense items manually in Quickbooks. All of the income flows through Neon. The manual provided is pretty detailed and if you work through the process in steps its fairly straight forward.

    We are just testing the QB connection. We are able to connect and create invoices. I guess we'll find out for ourselves, but It would help to know two things before we go further:

    1. Does the name in Neon have to match the account in QB exactly for it to automatically create an invoice? For example, the Neon Account may list "Sue Bates" as the first name, but QB lists her as Susan Bates. I'm hoping that the inoice is created and the bookkeeper rationalizes (makes the connection) later.

    2. If we test an unofficial version of QB, can we reverse the sync? EG. If I run tests with 20 records, can I then roll-back the syncronization and run those same 20 records with the real QB file?

    the Neon name format should match the QB name format. You can choose the format when setting up your sync settings in Neon. It'll either be FIRSTNAME LASTNAME or LASTNAME, FIRSTNAME.

    The address field will be checked during the import, against the name field to reduce the possibility of duplicates.

    Before you run your test import, back up your Quickbooks company file so that yes, you can rollback to the original file after your test import.

    Thanks for your answers. They are extremely helpful. I'm actually most interested in whether I can reverse the Neon side of the sync. Once I do a test sync with a duplicate QB file, Neon seems to think the game is over and those records are no longer available to sync with the actual QB file. Right?

    Thatcher, once you do a test sync Neon will have a flag on the donation record, which will need to be removed before you can edit or sync that particular donation again. Neon support has to remove the sync flags. The other option would be to change your sync start date to a later date.

    I would suggest you try syncing a couple of accounts first (without transaction data) then check QB to see how they appear. If they flow into QB properly, try a donation associated with the synced accounts.

    We are having a tough time getting it to connect.   We are on the QB Enterprise Solutions: Nonprofit 13.0 (desktop) and the connection is not taking functioning.  Our system admin has done all possible with help from Intuit and Microsoft.  Any ideas?

    FYI: if you find you're having a hard time trying to connect to QuickBooks Desktop, it may be related to having downloaded the web config utility during the course of a NEON trial. For any client that experiences issues getting the QuickBooks Desktop Web Connector running as intended, uninstall it, remove the config file, and reinstall it from scratch from your System Settings / Home Dashboard. We're working on adding some defensive measures in place from keeping this from happening for future trial-converted clients. Thanks all.
