Introduction

The basic membership settings govern the way membership terms work in your NeonCRM system. Edit these settings here: 

System Settings > Home/Dashboard > Memberships > Settings

Automatic Start Date for New Memberships

There are three dates associated with memberships in NeonCRM:

  • Transaction Date - the date the membership is purchased
  • Term Start Date - the date the membership goes into effect
  • Term End Date - the date the membership will expire

This setting offers two options for the Term Start Date for new memberships: Fixed Date and Use date of transaction. New memberships are records that have an Enroll Type of JOIN. Any membership registration records that have an Enroll Type of JOIN are subject to this setting.

Fixed Date

With this option selected, the Term Start Date will always be the same date, regardless of the Transaction Date. It also allows you to set a second fixed date so that a purchased membership's Term Start Date will be delayed until the selected date next year instead of being back-dated to your selected date this year.

Using these settings:

All new memberships begin on September 1, regardless of which day they are purchased. Memberships will begin on this date for all transactions between the fixed date and April 15. Memberships created outside this window will automatically begin on the same start date of the next year. This option should only be used for annual membership terms.

 The following would occur for one-year memberships set to end on the last day of the month:

Transaction Date Term Start Date Term End Date
November 10, 2015 September 1, 2015 August 31, 2015
May 10, 2016 September 1, 2016 August 31, 2017

In this example, you can see that NeonCRM will set the Term Start Date to last September 1 if the membership is purchased prior to April 15. If it is purchased after April 15, NeonCRM will set the Term Start Date to the next September 1.

Use date of transaction

With this option selected, the Transaction Date and Term Start Date will be the same. For example, if I purchase a membership on September 1, it will go into effect on September 1.


Automatic Start Date for Renewal Memberships

As noted above, there are three dates associated with memberships in NeonCRM:

  • Transaction Date - the date the membership is purchased
  • Term Start Date - the date the membership goes into effect
  • Term End Date - the date the membership will expire

This setting offers three options for the Term Start Date: Fixed Date; Use transaction date or previous renewal date, whichever is later; and Use previous renewal date. Renewal memberships are records that have an Enroll Type of RENEW. Any membership registration records that have an Enroll Type of RENEW are subject to the Automatic Start Date For Renewal Membership setting. 

Fixed Date

With this option selected, the Term Start Date will always be the same date, regardless of the Transaction Date. It also allows you to set a second fixed date so that a purchased membership's Term Start Date will be delayed until the selected date next year instead of being back-dated to your selected date this year.

Using these settings:

All renewed memberships begin on September 1, regardless of which day they are renewed. Memberships will begin on this date for all transactions between the fixed date and April 15. Memberships created outside this window will automatically begin on the same start date of the next year. This option should only be used for annual membership terms.

 The following would occur for one-year memberships set to end on the last day of the month:

In this example, you can see that NeonCRM will set the Term Start Date to last September 1 if the membership is renewed prior to April 15. If it is renewed after April 15, NeonCRM will set the Term Start Date to the next September 1.

Use transaction date or previous renewal date, whichever is later

With this option selected, Neon will review two dates in order to determine which date to set as the Term Start Date: the Transaction Date or the previous Term Start Date.

For example, if a membership's previous Term Start Date was September 1, and the member uses NeonCRM to renew their membership on September 15, the Term Start Date for their renewed membership will be set to September 15.

Use previous renewal date

With this option selected, Neon will set the use their previous membership's Term Start Date to set the Term Start Date for their renewed membership.

For example, if a membership's previous Term Start Date was September 1, and the member uses NeonCRM to renew their membership on September 15, the Term Start Date for their renewed membership will be set to September 1.


Automatic Adjustment for End Date

This setting offers two options for NeonCRM to determine the Term End Date for memberships: None or Last day of the month.

None

With this option selected, Term End Dates will be set exactly according to the membership's defined term. For more information on terms, see our Membership Terms guide here.

For example, if a member purchases a membership with a one year term on September 25, their membership will expire exactly one year later on September 25. If a member purchases a membership with a one month term on October 10, their membership will expire exactly one month later on November 10.

Last day of the month

With this option selected, Term End Dates will be set to the end of the month according to the membership's defined term.

For example, if a member purchases a membership with a one year term on September 25, their membership will expire one year later on September 30. If a member purchases a membership with a one month term on October 10, their membership will expire one month later on November 30.


Automatic Calculation for Membership Change

NeonCRM can track if members have upgraded or downgraded their memberships over time, or if their memberships have remained the same. This setting determines how NeonCRM identifies what is considered an upgrade or downgrade.

This setting offers two options: Based on amount and Based on rank.

Based on amount

With this option selected, NeonCRM will use membership amounts to determine an upgrade vs. a downgrade. For example:

This member previously had a $25 membership and now has a $50 membership. With the Based on amount setting, NeonCRM considers this person has having upgraded their membership, because they went from a lower cost membership to a higher cost one.

Based on rank

With this option selected, NeonCRM will use membership rank to determine an upgrade vs. a downgrade. Membership Rank is set for each Membership Level in System Settings > Home/Dashboard > Memberships > Levels & Terms. More information about setting Rank is available here.


Membership Grace Period

In NeonCRM, when a membership expires, the member will be required to join as a new member. For example, if my membership expires on September 20 and I buy a membership on September 25, I will have re-joined as opposed to renewed

With a grace period set, NeonCRM allows members to renew even if their membership has expired. This is useful if renewal fees are different from join fees. This means that if my membership expires on September 20 and I buy a membership on September 25, I will receive the renew rate as opposed to the join rate. More information on setting up fees is available here.

The grace period does not affect any other membership privileges. If a membership has expired but they have not purchased a new membership, even if they are still within the grace period:


Primary and Sub-Member Renewal

If this feature is turned on, Neon will "prompt" constituents who are renewing their memberships online to renew all of their sub-members, as seen below:

If this setting is turned off, this screen will not display. It will be up to the constituent to view and edit their sub-members after they complete their membership purchase.

Free-Entry Donations

If you have the NeonCRM Fundraising module, entering text into this field will allow your constituents to make a donation at the same time that they are purchasing their membership. There are two options for how this donation will be tracked: Create a new, separate donation entry and Combine the donation with the membership fee.

Create a new, separate donation entry

If this option is selected, NeonCRM will create two transactions on the member's account: a donation and a membership registration. If the member purchased a $50 membership and made a $25 donation, the membership registration would display as $50 and the donation would display as $25.

Combine the donation with the membership fee

If this option is selected, NeonCRM will create a single transaction on the member's account: a membership registration. If the member purchased a $50 membership and made a $25 donation, the membership registration would display as $75.


Membership Status Message

This message appears to constituents when they log in to the constituent login portal. It displays information about their current membership term.

When enabled, the Membership Status Message displays the following information on each page of the Constituent Login Portal.

The message will be collapsed by default, as shown in the example below.

Click Details to see a list of any active current memberships as well as any future membership terms.

Complimentary Membership
